Everyone in the real estate sector knows how a lease process unfolds. A broker finds a tenant. The landlord is satisfied. The agreement is signed. The fit-out begins, the move-in date is set and everyone assumes the schedule holds. Until someone, often late in the process, asks the question: what about the IT?

That is usually where the problem starts. Not because the technology is missing, but because the communication about it was missing. The digital infrastructure was not part of the conversation when it still mattered.

Everyone is busy, and yet almost no one asks what the digital infrastructure actually looks like. The IT infrastructure is missing from nearly every lease brochure, while that information makes the difference between a smooth handover and a series of surprises.

This is rarely a matter of unwillingness. It is a matter of a starting point that simply is not known. If no one knows which digital infrastructure is present, no one can steer it at an early stage.

A lease process does not stall on technology, it stalls on the question that was asked too late.

A practical example

An organization leases 600 square meters of office space. The architect designs fifty five workstations, the fit-out contractor plans the cable trays, the furniture is ordered and the move-in date is fixed. Only a few weeks later does the IT partner join the process.

That is when the bottlenecks surface. The data cabling turns out to be insufficient, the WiFi has to be redesigned entirely, the patch room is too small, a fiber connection is missing, the internet still has to be requested and extra cooling is needed for the network equipment.

The outcome is predictable. The schedule slips, part of the fit-out has to be redone, costs rise and frustration grows. No one did anything wrong. The starting point simply was not in view. The question has changed

The question is no longer just: how many square meters do I need? The question now is also: can this office support my IT use?

Beneath that lie more concrete questions that are increasingly asked early in the process:

  • Is the building prepared for AI-driven work?
  • Is the WiFi capacity sufficient for the number of users?
  • Can the data cabling grow along with the organization?
  • Is the internet connection built with redundancy?
  • Can thirty additional employees connect without problems later on?
  • Will the building still meet digital requirements in five years?

That is a shift in thinking. Where the conversation used to stop at square meters and delivery level, it now also starts at digital capacity. That the internet connection has become the first question of modern tenants is no coincidence but a logical consequence.

AI is changing the requirements for buildings

AI increases the pressure on the digital infrastructure of buildings. AI assistants, copilots, cloud applications, video calling, large data files, real-time collaboration, IoT and smart building functions all depend on a stable connection.

An increasing number of business processes are thus dependent on digital infrastructure. That classification runs from IT1+ PREMIUM for AI-ready buildings to IT5 SHELL, where no digital infrastructure is yet present. Each level describes what a tenant or owner can expect, without a value judgment. It makes the conversation concrete instead of leaving it stuck in assumptions.

Communication is the solution
